Project Summary

Ware is an all-in-one HR platform designed to simplify workplace management by integrating document handling, absence tracking, payroll, and other essential HR functions into a single, seamless solution.

While Ware aimed to provide a modern, efficient HR experience, early iterations of the platform faced usability challenges, inconsistencies across modules, and scalability issues that needed to be addressed before launch.

My role involved redesigning key platform modules to improve clarity, accessibility, and workflow efficiency while also building a scalable design system to ensure consistency across all HR functions.

This work was critical in creating a more intuitive experience for both HR professionals and employees while laying a strong foundation for Ware’s future growth.

Outcome (so far)

This project has been an ongoing effort to enhance the Ware platform, ensuring it is intuitive, scalable, and user-friendly before its MVP launch. My role has focused on improving usability, refining core HR modules, and building a scalable design system to support the platform’s long-term growth.

While this project is ongoing, these refinements have laid a strong UX/UI foundation that ensures Ware is built to scale effectively, improve HR workflows, and provide a seamless experience for users.

Key Contributions:

Redesigned multiple HR modules – including absence tracking, dashboards, document management, people management, platform authentication, and settings – to create more intuitive workflows that reduce friction for HR teams and employees.

Established a scalable design system – providing a structured, reusable UI framework that ensures consistency across the platform and allows for seamless integration of future features.

Improved usability and accessibility – refining navigation, layouts, and interaction patterns to enhance efficiency for HR professionals managing daily tasks.

Bridged the gap between design and development – collaborating closely with engineers to ensure designs were both technically feasible and aligned with business objectives.

What is the Ware platform ?

Ware is a comprehensive HR platform designed to empower workplaces by offering an all-in-one solution for document management, absence tracking, payroll, and more. It streamlines HR processes, reduces administrative overhead, and enhances the overall employee experience through a modern, intuitive digital solution.

Ware Dashboard

"Creating a central hub for HR professionals to access key tools and insights at a glance."

HR professionals and employees needed a more structured way to access key tasks, approvals, and company-wide updates. The previous dashboard lacked a clear hierarchy, making it difficult to navigate daily responsibilities efficiently.

I designed a dashboard that acts as a quick-access hub for HR teams and employees by:

Introducing task prioritisation – Surfacing pending approvals, document readings, and time-sensitive actions upfront.

Restructuring information hierarchy – Ensuring key HR processes were easy to locate and navigate.

Laying the foundation for future dashboard customisation – Creating a scalable framework that could evolve with user needs.

The dashboard was designed as a foundational starting point, with the long-term vision of enabling customisable widgets tailored to different HR roles. By prioritising clarity and efficiency, the layout ensures that users can quickly access key tasks while maintaining flexibility for future enhancements. The modular design approach allows the platform to evolve, ensuring scalability as new HR functions and personalisation options are introduced over time.

Document Management

Simplifying HR workflows with a structured, easy-to-navigate document system.

HR teams needed a structured and efficient way to manage company documents, ensuring compliance and smooth workflows. Employees required a clear process for reading, approving, and accessing important documents, such as health and safety policies, contracts, and training materials. A major challenge was creating a system that balanced flexibility (bulk uploads, categorisation) with usability (ensuring employees could quickly find and complete tasks).

To improve document workflows, I designed an intuitive, scalable document management system with:

A structured document library
– Organised into ‘All Documents’, ‘Archived Documents’, and ‘Document Library’ for easy navigation.

Reading & Approval workflows
– A streamlined system where employees receive assigned reading tasks, complete approvals, and track progress. HR teams can monitor completions.

Bulk upload & categorisation
– HR admins can efficiently upload multiple documents, assign categories, and set permissions.

Search & filtering tools
– Advanced search with filters for document type, author, and category to ensure quick access.

The document management system became a core HR workflow, improving compliance tracking while reducing the effort required for document approvals. The modular design allows for future customisation, such as automated approval flows and personalised document assignments, ensuring scalability as the platform evolves.

Absence Tracking & Management

Streamlining leave requests and approvals for a more efficient HR experience.

HR teams needed a clear and structured way to manage leave requests, ensuring employees could easily request time off while managers had full visibility over team availability. The challenge was designing a system that balanced employee needs (simple and quick request process) with HR and managerial requirements (accurate tracking, approval workflows, and compliance with company policies).

To simplify absence management, I designed an intuitive system that:

Seamlessly integrates with company policies – Ensuring leave requests align with entitlement rules, carryover limits, and business policies.

Provides employees with transparency – A user-friendly calendar view displaying personal leave balances, upcoming requests, and team availability.

Streamlines approval workflows – A clear approval system for managers, allowing them to review, approve, or decline requests with visibility into team conflicts.

Ensures easy tracking for employees – An overview screen that allows employees to see their remaining leave, pending requests, and past absences at a glance.


The absence tracking module improved efficiency by reducing the time employees spent managing their leave and providing managers with an easy-to-use approval system. Employees gained greater clarity over their remaining leave and upcoming time off, helping them plan ahead while minimising back-and-forth queries with HR. The design also allows for future enhancements, such as integration with payroll and automated leave recommendations based on usage patterns.

People Management

Providing HR teams with a clear, structured way to manage employees and reporting structures.

HR professionals needed a centralised and efficient system to manage employee records, track job roles, and oversee reporting structures. The challenge was ensuring that HR teams could easily access, edit, and maintain employee data while also providing managers with the right level of visibility into their teams. Employees, on the other hand, needed a simple way to view their own information and reporting lines.

To address this, I designed a scalable people management system that:

Centralised employee records
– A structured interface where HR teams could manage personal details, job roles, and contract information.

Provides employees with transparency – A user-friendly calendar view displaying personal leave balances, upcoming requests, and team availability.

Streamlines approval workflows – A clear approval system for managers, allowing them to review, approve, or decline requests with visibility into team conflicts.

Enabled quick updates and changes  – Making it easy for HR to manage promotions, role changes, and contract updates.

The People Management module improved administrative efficiency by providing HR with a central hub for managing employees. Managers now had clearer visibility into team structures, while employees could see their reporting lines without needing to ask HR. The modular design ensures that as Ware grows, additional HR features—such as performance tracking or automated onboarding flows—can be easily integrated.

Authentication & User Roles

Ensuring secure, role-based access across the platform.

Ware needed a secure and scalable authentication system that would allow HR teams, managers, and employees to access the platform with the right permissions. The challenge was to balance security and ease of access, ensuring that sensitive HR data was protected while providing a seamless user experience for employees logging in to complete tasks.

To create a secure and user-friendly authentication system, I designed:

Role-based access controls Ensuring different user types (HR, managers, employees) had the right level of access to company data.

Multi-factor authentication (MFA) support
– Adding an extra layer of security for sensitive HR functions.

Single sign-on (SSO) capabilities
– Allowing businesses to integrate their authentication with existing enterprise login solutions.

Clear user onboarding flows
– Simplifying the process for employees to log in and access their dashboards without confusion.

The authentication and user role system ensured HR teams could confidently manage permissions without compromising security. Employees could log in seamlessly, while sensitive HR data remained protected through robust role-based access controls. The system was built for scalability, allowing future enhancements such as biometric authentication or dynamic role adjustments.

Settings & Customisation

Giving businesses control over their HR platform with flexible settings and customisation options.

HR teams needed a way to tailor the platform to their organisation’s policies and workflows, from leave policies to document settings. The challenge was to design a settings system that was comprehensive yet intuitive, ensuring that HR teams could configure key features without requiring technical expertise.

To provide a flexible and user-friendly settings experience, I designed:

Company-wide HR settings Allowing HR teams to configure absence policies, working hours, and approval workflows.

User role and permission management
– Enabling HR teams to adjust access levels based on employee roles.

Custom notifications and alerts
– Giving businesses control over how employees receive important updates.

Configurable document settings – Allowing HR to define document access, expiry dates, and required reading policies.

The settings module empowered HR teams by giving them the tools to customise the platform to their needs, reducing reliance on support teams for administrative tasks. The modular approach ensures that future HR policy changes can be easily implemented, making the platform adaptable as businesses grow.

Design System

Building a scalable design system to ensure consistency, efficiency, and future growth.

With Ware expanding its platform, design inconsistencies began to emerge across different modules. HR tools required a cohesive and scalable design language to maintain a smooth user experience, improve development efficiency, and ensure accessibility standards were met. The challenge was to establish a unified system that could support both current and future product growth.

To create a robust and scalable design system, I:

Developed a centralised component library – Ensuring UI consistency across all HR modules while improving development efficiency.

Defined typography, colour systems, and spacing guidelines
– Creating a structured, accessible visual identity.

Established interaction patterns and usability standards
– Providing clear guidance on form inputs, navigation, and component behaviours.

Collaborated with developers
– Ensuring seamless integration between design and code to reduce inconsistencies.

The design system provided a strong foundation for Ware’s future development, reducing design debt and ensuring that new HR features could be built faster and more consistently. By standardising UI elements, we enhanced accessibility, improved usability, and created a more cohesive platform experience. The system was designed to scale with the platform as new features and modules were introduced.

Establishing a Scalable, User-Centered HR Platform

My work on Ware has been about more than just refining the interface—it's been about enhancing the user experience, improving workflows, and ensuring the platform can scale effectively as new features are introduced.

While my time on this project has come to an end, the design system and refined user flows will provide a solid foundation for Ware’s continued growth. These improvements ensure that as the platform expands, it remains intuitive, scalable, and efficient for both HR professionals and employees.
